References and background checks when applying in Ghana

Choose people who know your work and verify what information an employer actually needs.

An employer may ask someone to confirm your work, check a qualification or request a formal clearance for a particular post. These are different checks. Ghanaian applicants can prepare without sending sensitive information to every recruiter who asks. Keep a truthful record of employment and National Service, ask referees before naming them and use official routes for documents. This guide helps you support a genuine selection process while recognising when an alleged check is really a payment or identity scam.

Choose referees who can describe your work

Ask a supervisor, lecturer or project lead who directly observed relevant tasks. Explain the role you are applying for and remind them of the work they saw: a report, shift, placement or service assignment. Get permission before putting their contact details on a CV or employer form. A well-known person's name is less useful than a referee who can answer specific questions. If you left a difficult job, look for another manager or client who can fairly confirm the work rather than inventing a contact.

National Service can produce a strong reference when the host supervisor knows your real contribution. The National Service Authority's portal provides service documentation, but it is not a substitute for someone who can describe your work. Keep exact dates, organisation name and title consistent across the CV, form and referee conversation. If an employer asks whether a placement was paid employment, answer honestly. Do not make a referee repeat a misleading title. A reference check is most useful when it confirms facts already presented clearly in the application.

Understand different types of verification

A company may check employment dates, qualifications, professional status or a criminal-record document according to the role. MTN Ghana's job applicant notice describes collection of information from referees, previous employers and credential-check providers in its recruitment process. That does not mean every job requires every check. Read the vacancy and ask what will be verified, at which stage and through which provider. A public agency may have its own process. A financial role can involve more detailed checks than a simple work sample, but the employer should still explain the need.

GTEC and CTVET provide official routes to check accredited higher and technical education. The Ghana Police Service lists its formal clearance and vetting services. Do not send an edited certificate or assume a private verification site is an authority. If your qualification name changed after an institution merger, gather the genuine award and transcript and ask the issuing body how it is verified. Where a document is pending, state that status instead of presenting a screenshot as final proof.

Protect documents during the process

Before uploading identification, certificates or a police document, check the recruiter against the original employer site and your application record. Send only the items required at that stage through an official form or verified address. A person who contacts you out of the blue and asks for a Ghana Card image, bank statement and payment in one message may be collecting identity data rather than recruiting. Ask why a document is needed and who receives it. Do not share passwords or one-time codes with anyone claiming to conduct a background check.

Keep a private folder of the documents you submit and note the date and role. If a company sends you to a third-party provider, confirm the provider with the company's own recruitment contact before creating an account. MTN's privacy notice shows the types of personal information an employer may use in a selection process; the actual privacy notice for your employer should explain its own handling. Do not post a police certificate or full Ghana Card PIN publicly to demonstrate you are employable.

Handle a discrepancy directly

If a referee remembers a different title or date, correct the record before the employer asks. A difference between a National Service placement and a paid staff role is especially important. If an institution has not yet issued your certificate, provide the status and a verifiable interim record when the employer permits it. Do not change a document to align it with a CV mistake. Ask the issuer to correct an administrative error and keep the correspondence. Where a check produces an adverse result, request the underlying information and use the provider's correction route.

Prepare a factual explanation for a work gap or change of supervisor. An employer may care more about whether you can account for the work than about a perfect linear history. Do not ask a friend to pose as a manager; it creates a new problem and can undermine every true part of your application. If a check involves a police clearance, use the Ghana Police Service's official route and ask the employer which type of document it requires. Different purposes may call for different vetting services.

Know the boundary between a check and a scam

A genuine employer can name the job, explain the check and provide a contact you can verify independently. GNPC says its recruitment communications come through its own domain and warns against any money request. The Minerals Commission has published a warning about a fake recruitment portal. These examples show why a respected logo is not proof. If a recruiter says a reference check will be skipped only if you pay, stop and verify through the real employer. Workghana.net never charges job seekers for access to applications.

Do not assume every official government service is free: the Ghana Police Service publishes fees for specific clearance and vetting services. Distinguish a published statutory service paid through an official route from a private recruiter requesting money to secure a job. Check the current official page, purpose and payment channel before spending anything. The employer should tell you whether the document is genuinely necessary for the role and at which stage. Keep receipts and records through the authorised process.
